Meeting Design & Facilitation

  • EXAMPLE 1

Client Situation: An executive leader wanted to create a new external strategic advisory committee to help inform the work of her organization and build stronger working relationships with key stakeholders.  

Lanterna Results:

  • Lanterna assisted client in the formation and development of a new external strategic advisory body including composition, a state-wide application and selection process, and a committee charter.  
  • Now more than 10 years later, the consultant continues to provide ongoing design, facilitation, and documentation for collaborative and productive advisory committee meetings held approximately 7-8 times annually. The annual open application process continues to receive more qualified applications than there are open positions available each year.
  • EXAMPLE 2

Client Situation: The client hired Lanterna to design and facilitate a series of meetings with a diverse group of stakeholders to assist with revising a State Rule over the course of two years.

Lanterna Results:

  • The consultant worked with program staff to prioritize State Rule content for review and input, and then to design and facilitate a series of meetings with an advisory committee over the course of two years to assist with the State Rule revision work. 
  • The advisory committee included representatives from the full range of service providers under contract by the client where committee facilitation required creating an open and safe environment for ongoing dialogue and spirited debate. The project included review of federal policy, frameworks, and legal precedent/decisions. 
  • In addition to design and facilitation of the advisory committee, Lanterna also wrote detailed session notes to share with key stakeholders and interested public. The session documentation was also used by program staff as a source of input and reference in drafting the revised State Rule. 

  • EXAMPLE 3

Client Situation: New leaders recruited to manage a team with low morale hired Lanterna to design and facilitate a team retreat to begin the hard work of addressing underlying cultural and organizational issues.   

Lanterna Results:

  • Lanterna designed and delivered a management retreat, as well as post-retreat individual team member sessions, to uncover and discuss underlying cultural and organizational issues.  
  • The consultant synthesized major issues and provided consultation and coaching to management on strategies to address the challenges and to move the organization to a healthier state.

  • EXAMPLE 4

Client Situation: As one of three co-sponsoring organizations, the agency sought Lanterna’s assistance in convening a diverse committee to develop a system plan and framework to improve coordination and delivery of services through a broad network of public and private partners.

Lanterna Results:

  • Lanterna designed and facilitated a series of meetings that resulted in a system plan and framework endorsed by the committee. The committee’s recommended system plan was then formally presented and approved by all three co-sponsoring state and federal entities. 
  • Shortly after the System Plan was adopted, the client received increased support from the state legislature to accelerate the plan’s implementation. The System Plan has helped the client agency shift away from delivering direct services to a coordination and support role tapping into the greater public-private network.
